1. Introduction

This Privacy Policy explains how personal information is handled by DAW Assemble and by Daw Assemble Inc., the company that operates the home studio assembly bench described on this website. The developer name DAW Assemble appears throughout our internal project records, and the legal entity that contracts with clients is Daw Assemble Inc.

We assemble desk rigs, mount acoustic panels, dress cable runs, set up studio racks, build monitor stands and carry out tune-up visits for music rooms in and around Toronto. That work brings us into homes and rented spaces, often in rooms that hold expensive and personal equipment. We take the resulting obligations seriously and we have written this policy in plain English so that a reader does not need a legal dictionary to understand it.

The policy describes the categories of information we collect, the reasons we collect them, the people and organisations that may receive them, the length of time we keep them and the choices available to you. It applies to our website, to enquiries sent by email or telephone and to work carried out on client premises.

If anything below is unclear, please write to assembly@dawassemble.autos and a member of the team will explain it in more detail. We would rather answer a question early than discover a misunderstanding after a build has begun.

2. Who We Are

The organisation responsible for the personal information described in this policy is Daw Assemble Inc. Our workshop address is 2799 Kingston Road 901, TORONTO - M1M 0E3, Canada (CA). The company works across the professional and technical services sector, with a focus on computer integrated systems design as it applies to the physical layout of music production rooms.

In this policy the words we, us and our refer to Daw Assemble Inc. The words you and your refer to anyone who visits the website, sends an enquiry, requests a quotation or engages us for a build. The developer name DAW Assemble is used on our project sheets, bench labels and internal correspondence and should be treated as the same organisation for the purposes of this policy.

Our email address is assembly@dawassemble.autos and our telephone number is +18065456780. Either channel is suitable for privacy questions, although we ask that requests about access, correction or deletion are sent in writing so that we can keep a clear record of what was asked and when.

3. Scope of This Policy

This policy covers personal information processed through the website at dawassemble.autos, through email and telephone contact, through quotations and invoices and through on site work at client premises. It does not cover the practices of any separate organisation whose services you may use, including payment processors, email providers or social media platforms.

Where we are engaged by a business client to work in a shared office or a commercial studio, that client may have its own privacy notice. Our work is carried out under the direction of that client, and the client remains responsible for information it holds about its own staff and visitors.

A small number of pages on this site link to external resources. Those resources are governed by their own privacy terms, and we encourage you to read them before providing personal information.

4. Information We Collect

We try to collect only what is needed to plan and complete a build. The categories below describe the range of information that may be processed, not a mandatory list that applies to every person.

  • Identity details such as your name, the name of your studio and the role you hold in the project.
  • Contact details such as email address, telephone number, postal address and billing address.
  • Project details such as room measurements, wall construction, floor type, outlet positions and photos of the space.
  • Equipment details such as the make and model of desks, monitors, racks, panels and outboard units.
  • Correspondence, including emails, notes taken during calls and messages sent through the contact form.
  • Commercial records such as quotations, invoices, payment status and service history.

We do not ask for payment card numbers through the website. Payments are arranged through the channels described in a quotation, and any card details are handled by the payment provider rather than stored on our systems.

5. Build Enquiry Details

The contact form on this website asks for a name, an email address, a subject and a message. When the form is submitted, your own mail application opens with the message prepared for sending to assembly@dawassemble.autos. The website does not transmit the form contents to a separate database.

Once your message reaches us, it is stored in our email system and, where relevant, summarised in a project record. We use those details to reply, to prepare a scope and to arrange a walkthrough. If you decide not to proceed, the message remains in the email archive until the retention period described below has passed.

Please avoid including sensitive information in the message field. A description of the room, the gear you own and the outcome you want is sufficient for a first reply. We will ask for anything else we need during the walkthrough.

6. Website and Server Logs

Our hosting provider records standard technical information for every request made to the website. This typically includes the internet protocol address, the browser type and version, the operating system, the referring page, the pages requested and the time of the request. These logs help us keep the site available and detect abusive traffic.

Server logs are not used to build advertising profiles and are not combined with the details you send in an enquiry. They are retained for a limited period determined by the hosting provider and are then deleted or anonymised.

We may also receive aggregate statistics about page visits, such as the number of visits to the services page in a week. Aggregate figures do not identify an individual and are used only to understand which parts of the site are useful.

7. Cookies and Local Storage

The website is built to work without advertising cookies. We do not place tracking cookies for third party advertising networks, and we do not run cross site behavioural profiling on visitors.

A strictly necessary cookie or a small entry in browser storage may be used to remember interface preferences, such as whether the mobile navigation is open. These items do not contain personal information and are removed when they are no longer needed.

Your browser settings allow you to clear cookies and to block them in future. Blocking strictly necessary items may affect how the navigation behaves, but the written content of the site remains readable.

8. How We Use Information

Personal information is used for the practical purposes of running a studio assembly business. In most cases that means answering a question, preparing a scope, ordering parts, scheduling a crew and keeping a record of what was installed.

  • To respond to enquiries and arrange walkthrough appointments.
  • To prepare quotations, invoices and build documentation.
  • To plan and complete desk rigs, panel mounting, cable dressing, rack setup, monitor stands and tune-up visits.
  • To maintain a service history so that a later visit can pick up where the last one finished.
  • To meet accounting, tax and record keeping obligations.
  • To protect the safety of our crew and the property of our clients.
  • To improve the clarity of our website and service descriptions.

We do not sell personal information. We do not rent contact lists. We do not use the contents of a build enquiry to promote unrelated products.

9. Legal Bases for Processing

Where privacy law requires a legal basis for processing, we rely on one or more of the following. Performance of a contract applies when we are delivering a quoted service. Legitimate interests apply when we respond to an enquiry, secure our premises or keep ordinary business records. Consent applies where we ask for permission, for example before publishing a photograph of a finished room. Legal obligation applies to tax, accounting and safety records.

Where processing rests on consent, that consent may be withdrawn at any time. Withdrawal does not affect work already completed or records we are required to keep. To withdraw consent, write to assembly@dawassemble.autos and state clearly which permission you are withdrawing.

Where processing rests on legitimate interests, we carry out a balancing assessment to confirm that our interest does not override the rights of the individual concerned. A summary of that assessment can be provided on request.

10. Sharing With Others

We share personal information only where it is necessary for the service or required by law. The categories of recipient are limited and are described below.

  • Suppliers who deliver desks, panels, racks and hardware to a project address.
  • Subcontractors who assist with a specific build, such as a carpenter or an electrician.
  • Accounting and bookkeeping providers who process invoices and payments.
  • Hosting and email providers that operate the technical infrastructure behind the website and correspondence.
  • Professional advisers, insurers and auditors where a genuine need arises.
  • Courts, regulators and law enforcement where disclosure is required by law.

Every supplier and subcontractor receives only the details needed for the task. Where a supplier handles information on our behalf, we require appropriate confidentiality and security commitments. We do not permit a supplier to use client details for its own marketing.

11. Site Photographs and Recordings

During a build we often photograph the room before, during and after the work. These photographs document cable routes, panel positions and rack loading, and they are useful when a later visit needs to match the original installation. Photographs may incidentally include personal belongings in the room.

We do not publish photographs of a client space on the website or on social media without written permission. Where permission is given, we avoid images that show personal documents, screens or identifiable people unless a separate release has been signed.

Clients may ask for photographs of their own room to be deleted once the project record has been closed. We will confirm in writing when that has been done, subject to any record we must keep for accounting or warranty purposes.

12. Retention of Records

Different records are kept for different periods. Enquiries that do not lead to a project are held for up to twenty four months so that we can recognise a returning client and avoid asking the same questions twice. Project records, including drawings, photographs and service history, are held for as long as the warranty period lasts and for a reasonable period afterwards.

Financial records are kept for the period required by Canadian tax law and by the accounting rules that apply to the company. When a retention period ends, records are deleted or destroyed in a way that prevents reconstruction.

Where a record contains both information we must keep and information we do not need, we may separate the two and delete the unnecessary part rather than waiting for the whole file to expire.

13. How We Protect Information

Access to client records is limited to team members who need it for a project or for administration. Email accounts and shared drives are protected by strong passwords and multi factor authentication where the provider supports it. Devices used on site are kept with the crew and are not left unattended in an open room.

Paper documents such as panel drawings and signal maps are kept in a locked cabinet at the workshop when they are not in use. Documents that are no longer needed are shredded rather than placed in ordinary recycling.

No system is perfectly secure. If a security incident affects personal information, we will investigate promptly, take steps to contain the impact and notify affected individuals and the appropriate regulator where the law requires it. We will also explain what happened in plain language rather than hiding behind technical jargon.

14. International Transfers

Our workshop and principal records are in Canada. Some service providers, such as email hosts and accounting platforms, may store data in other countries. Where information leaves Canada, we take reasonable steps to ensure that it remains protected by contractual commitments and by the security practices of the provider.

If you would like to know which countries are involved for a particular service, write to assembly@dawassemble.autos and we will explain the arrangement for the providers we use at that time.

Transfers are limited to what is needed to run the service. We do not move client information to a new provider without reviewing the privacy and security terms of that provider first.

15. Your Privacy Rights

Depending on where you live, you may have the right to access the personal information we hold about you, to ask for corrections where it is inaccurate, to ask for deletion where there is no remaining reason to keep it, to object to certain processing, to ask for a portable copy and to withdraw consent where consent is the basis for processing.

To exercise a right, send a written request to assembly@dawassemble.autos. Please describe what you would like us to do and include enough detail for us to locate the relevant records. We may ask for proof of identity before acting, because we do not want to release a client file to the wrong person.

We aim to respond within thirty days. If a request is complex, we will explain why more time is needed and give an expected date. There is normally no charge, although a reasonable fee may apply where a request is manifestly unfounded or repetitive.

If a request concerns information held by a business client rather than by us, we will redirect the request to that client and explain the reason.

16. Privacy for Children

Our services are intended for adults who own or manage a music room. We do not knowingly collect personal information from children under the age of sixteen. Where a young person is present during a build, we do not record their details unless a parent or guardian provides them for a legitimate purpose such as access arrangements.

If you believe that a child has sent personal information to us, please contact assembly@dawassemble.autos and we will delete the information promptly once we have confirmed the circumstances.

17. Links and Third Party Services

The website may link to maps, equipment manufacturers, industry associations or other resources. Those sites are not operated by us and their privacy practices are outside our control. Following a link does not mean that we endorse the privacy terms of the destination.

When a client asks us to use a particular supplier, that supplier may collect information directly. In that case the supplier is responsible for its own notice, and we will tell the client which supplier is involved so that the appropriate notice can be read.

18. Marketing Communication

We may send a short note when the build calendar opens or when a new service becomes available. These messages are sent only to people who have asked for them or who have an existing client relationship, and every message includes a simple way to stop receiving them.

Unsubscribing from marketing does not prevent us from sending messages about an active project, an invoice or a scheduled visit. Those messages are part of the service and are handled separately from promotional mail.

19. Automated Decisions

We do not make decisions with legal or similarly significant effects about individuals through automated processing. Quotations and scheduling are prepared by people who review the details of each project.

Software is used to draft documents and to keep records tidy, but a member of the team checks the output before it reaches a client. If that changes in future, this policy will be updated and the change will be explained.

20. Changes to This Policy

This policy may be updated when our services change, when a new provider is introduced or when the law requires a different approach. The date at the top of the page shows when the current version took effect.

Where a change materially affects how information is used, we will take reasonable steps to notify clients with an active project. Continuing to use the website after a change means that the updated policy applies to the visit.

Earlier versions can be provided on request for a reasonable period after a change, so that a client can see what the policy said at the time a project was agreed.

21. Complaints and Regulators

If you are unhappy with how we have handled personal information, please tell us first. Write to assembly@dawassemble.autos with a description of the issue and we will investigate and respond. Many concerns can be resolved quickly once the facts are clear.

If you remain unsatisfied, you may contact the privacy regulator for your jurisdiction. In Canada this is the Office of the Privacy Commissioner. We will cooperate with any review and will provide the records needed to understand the matter.

23. Records at the Workshop

The workshop at 2799 Kingston Road 901 keeps the physical drawings and ledgers that support a build. These documents record panel positions, rack loading, cable destinations and the dates of each visit. They are stored in a locked cabinet and are available to the client on request.

A printed copy is offered at handover because a paper drawing is easier to read in a dark control room than a file on a phone. The digital copy is kept alongside the project record so that either format can be restored if the other is misplaced.

When a project record is closed, the paper copy is shredded after the retention period expires and the digital copy is deleted from the working drive. Backups roll off automatically according to the schedule of the storage provider.

22. How to Reach Us

Privacy questions, access requests and complaints may be sent by email to assembly@dawassemble.autos or raised by telephone on +18065456780 during business hours. Written requests are preferred because they create a clear record of the date and the scope of the request.

Our postal address is Daw Assemble Inc., 2799 Kingston Road 901, TORONTO - M1M 0E3, Canada (CA). Please mark written privacy correspondence for the attention of the privacy contact so that it reaches the right person without delay.

This policy is provided for information and does not create rights beyond those already available under applicable law. Where a translation or summary differs from the English text, the English text prevails.
